1. About Nexa
Nexa is an independent Discord bot providing management, ticket, moderation, staff, community, store, GTA RP and Premium features. The Nexa team operates the service and handles data-related requests through its official support.
2. Categories of data that may be processed
Depending on enabled modules and actions performed, Nexa may process or store:
- Discord identifiers: server, user, channel, role and message IDs needed for modules to work;
- Public Discord information: username, server name, roles or other information made available to the application by Discord when required by a feature;
- Server configuration: language, modules, configured channels and roles, ticket settings, logs and automation;
- Tickets and support: owner, type, state, assigned staff member, priority, dates, closure reason and, when transcript functionality is used, content required for that transcript;
- Forms and applications: responses voluntarily submitted by users;
- Moderation and community: warnings or other moderation records, suggestions, votes, giveaways and data tied to enabled modules;
- Premium: subscription or license status, technical activation history and Premium settings;
- Technical data: error logs, synchronization information and elements required for security, diagnostics and abuse prevention;
- Public website status: bot version, service status, status message, aggregated server and member counts, latency, uptime and last synchronization date. This public feed does not contain user IDs or ticket content.
3. Message content and information entered
Nexa processes message content only when required for a feature being used or configured, such as commands, forms, applications, suggestions, announcements, reminders, AutoMod, tickets or transcripts.
Server administrators determine the channels and modules in which Nexa operates. When a log or transcript is posted in a Discord channel, its later availability depends on that server's permissions and retention practices.
4. Why data is used
- run requested commands and features;
- save server configuration across restarts;
- operate tickets, applications, staff tools and moderation systems;
- operate community, store, GTA RP and Premium modules;
- diagnose errors, maintain security and limit abuse;
- manage Nexa Premium licenses and rights;
- respond to support or data deletion requests.
Nexa does not use Discord API data to build advertising profiles and does not sell personal information.
5. How processing is triggered
Processing primarily occurs when an administrator adds Nexa to a server, configures a module, or when a user voluntarily uses a command or feature.
Server administrators are responsible for informing members when their Nexa configuration creates a specific record, for example an application form, transcript or moderation record.
6. Retention
Configuration and operational data are kept only for as long as needed for the relevant features, service security or server-requested tracking.
When a server no longer uses Nexa or data is no longer needed, it may be deleted or anonymized. Certain technical records may be retained longer where needed to prevent abuse, investigate an incident or comply with a legal obligation.
Messages, logs or transcripts already posted in Discord may need to be deleted directly in the relevant server because they are then hosted within that server's Discord environment.
8. Hosting and international transfers
Nexa relies on hosting and infrastructure services that may operate systems in different countries. Where applicable, processing is carried out in accordance with relevant data-protection rules and provider commitments.
The website's public status is synchronized to the Netlify infrastructure used by the project. This status is limited to aggregated operational information and does not contain users' private content.
9. Security
Nexa uses measures designed to limit access to sensitive features and data, including Discord permissions, authorized roles, server-side API secrets and separation between the public website and confidential bot information.
No system is completely risk-free. If you believe you have found a vulnerability or data leak, contact Nexa support and avoid publishing technical details before the issue is handled.
10. Access, correction and deletion
Depending on applicable law, you may request access to personal data about you, correction or deletion.
How to request deletion
- Join the official Nexa Discord server.
- Open a support ticket and state that it is a data / deletion request.
- Provide your Discord user ID and, if the request concerns a server, the relevant server ID.
- The team may request reasonable verification to prevent an unauthorized person from requesting deletion of another user or server's data.
Requests are reviewed within a reasonable time and data is deleted when no legal obligation or legitimate necessity requires continued retention.
11. Minors
Nexa is used within Discord. Users must comply with Discord's terms and the minimum age applicable in their country. Nexa is not intended to bypass Discord age restrictions.
12. Changes to this policy
This policy may be updated when Nexa changes its features, the data needed for operation or its infrastructure. The latest update date remains displayed at the top of this page.
